The Position
The Administrative Assistant will report to the Executive Director (ED). Duties include office management, board and committee support, bookkeeping-related tasks, internal and external communications, partner relations, and event and project coordination.

Hours: Office hours are 8:30 am to 5:00 pm. Position would work 15 hours within this time frame. Schedule is flexible, however attendance at board meetings on the last Thursday of the month is mandatory.

QUALIFICATIONS:
• At least three years’ relevant experience
• Experience managing administrative details, project and event coordinating
• Exceptional organizational skills with strong attention to detail and a solutions-oriented mindset
• Good knowledge of accounting theory, principles and practices; knowledge of accounting terminology; knowledge of financial record keeping and reporting
• Self-starter and self-motivated, with the ability to work autonomously and complete projects with minimal supervision
• Great customer service skills
• Flexibility and ability to manage diverse projects simultaneously
• Able to organize office operations, identify missing procedures and implement them
• Responsive with great follow-through skills
• Excellent communication skills (both written and oral)
• Maintains a high level of professionalism at all times
• Team player with positive attitude to help cultivate a collaborative environment
• Experience or interest in non-profit work
• Proficiency with Microsoft Office and Dropbox
• Must have valid Oregon driver’s license, in good standing with no insurability restrictions
• A successful candidate will be able to pass a criminal background check


DUTIES:
• Order, manage and organize office supplies
• Check, process and sort mail
• Bookkeeping Support
o EWP hires Susan Matlock Jones and Associates, LLC to manage bookkeeping
o Administrative Assistant would do the following to support this system:
 Collect, code, and enter bills and receipts using SMJ’s system (EWP will provide training)
 Collect, enter, and deposit checks at First Interstate Bank
 Manage physical and electronic copies of all receipts, invoices, and checks
• Payroll Support
o Collect timecards from staff and prepare them for ED to enter into system
• Manages Parking Permit Program
o Fulfill orders, deliver permits, create invoices and assist venues with permits
• EWP Board and Committee Support
o Coordinate Board of Directors and Committee meeting logistics, record minutes and committee notes, and support the ED with follow ups
o Attend monthly EWP Board meetings (last Thursday of the month from 8:00 am – 9:30 pm) and take minutes
o Work with Executive Committee and ED to provide minutes in a timely manner
o Attend other committee meetings and take notes
• Run errands and perform other administrative duties as necessary
• Update web content as needed
• Ensure general EWP equipment is in good repair and coordinate any maintenance with appropriate vendor. This includes copier, postage machine and Ford Focus.
• Foster positive relationships with Washington Park venues, stakeholders, neighbors by visiting, answering questions, providing supporting and information
• Ensures that office facilities are kept secure, clean and professional-looking
• Other duties as assigned


Pay: $15/hour
