Job Description

Hill Architects, a dynamic, growing architectural and planning firm is seeking an Office Manager – Administrator with a passion for creativity and quality, and a sense of pride in everything they touch. The successful applicant will work closely with Principals and architectural staff to manage the HR, accounting, and administrative operations for the office. This position offers a chance for growth and is a special opportunity for someone with an interest in architecture and design.

Responsibilities include:

Human Resources:

Gather and process new-hire information.
Maintain employee files and administer employee benefits and payroll.
Maintain and update the employee manual.


Accounts Payable, Invoicing and Billing.
Process Payroll.
Reconcile accounts.
Deposits and other banking errands.
Maintain financial spreadsheets and data.


Greet visitors and callers in a pleasant and professional manner.
Manage mail and deliveries to and from the office.
Arrange conference rooms and meals for office meetings and events.
Maintain office equipment.
Manage phone system.
Manage and order office supplies.
Organize meetings and events such as the annual summer picnic and holiday party.
Communicate information to office staff company wide.


Provide administrative support to Principals and architectural staff.
Provide day-to-day leadership to ensure a high performance, customer service-oriented work environment.
Assist with preparation and dissemination of marketing materials.
Organize and maintain professional library including code books and product library.
Maintain professional licensing records, and assist with obtaining reciprocal licensing.
Monitor continuing education requirements and schedule seminars and classes.
Organize and maintain filing systems and company archives.
Manage office calendars.
Make travel arrangements.
Occasionally assist Principals with personal tasks.

Required Qualifications:

2+ years of administrative experience.
Bachelors Degree or Equivalent.
Reliable, self-motivated, independent, adaptable and versatile with an enthusiastic collaborative spirit.
Proficiency in QuickBooks Pro, Microsoft Office (Word, Excel, PowerPoint, Outlook), and Acrobat.
Excellent critical thinking skills with exacting attention to detail.
An ability to manage multiple priorities and diverse responsibilities.
Strong verbal, written and visual communications skills.
Strong inter-personal skills.

Preferred Qualifications:

2+ years administrative experience in an architectural office.
Bachelors or Masters degree.
Membership in SMPS.
Knowledge of construction documents and the design and construction processes.
Familiarity with Ajera, and Deltek Vision programs.
Proficiency with Adobe Creative Suite programs including Photoshop, InDesign, and Illustrator.
Web design and website management experience.
