## Functions/Duties of Position
The Education Program Assistant will provide administrative support to the Department of Neurological Surgery Administrative and Education teams. Under the direction of the Education Manger and the Administrative Coordinator, the Education Assistant will assist with various projects pertaining to Neurological Surgery training programs. This support includes tracking and onboarding department visitors and trainees such as medical students, residents, fellows, visiting scientists, and volunteers; assisting with fellowship and resident recruitment; escorting department visitors and trainee recruits around campus; completing alumni verification requests, expense tracking, verifying purchases, and submitting electronic purchase and reimbursement requests; completing alumni verification requests; submitting IT requests and maintaining technology databases.
Working in conjunction with the OHSU Brain Institute, the Department of Neurological Surgery hosts multiple Continuing Medical Education (CME) events throughout the academic year. With budgets ranging from $5000 to $120,000, these events highlight regional, national, and international neuroscience research and clinical techniques that are important to OHSU-sponsored physician education. The Education Assistant will assist with planning and designing meeting agendas for academic conferences; scheduling and participating in meetings with faculty directors, department management and executive teams; completing Continuing Medical Education credit applications; obtaining written disclosures and approvals from faculty speakers; planning event logistics, and attending events to provide on-site setup and support. The purpose of the Education Assistant position is to increase productivity of the Education Team and faculty through facilitating more simplified tasks that allow the staff to focus on more complex issues.
In addition to the specified duties, the Education Assistant will be responsible for scheduling meetings using electronic calendar systems and online polling technology; transcribing letters and creating written communication; electronic filing and maintenance of electronic libraries, checklist and databases; sorting mail, running errands, and answering inquiries using computer and phone systems. Documentation of processes and projects is a specific expectation of all Education Team members.
## Job Requirements
Required Qualifications:
* High school diploma or equivalent
* Must be enrolled in, or on vacation from, undergraduate college (minimum 6 credit hours) or graduate college (minimum of 4.5 credit hours)
* Must be proficient with office equipment and Microsoft Office Suite, and must be comfortable with all forms of technology
* General knowledge of office practices
* Ability to perform general office tasks
* Must be reliable and have good attention to detail
Preferred Qualifications:
* Experience in an academic/clinic office setting of a university
* Advanced Microsoft Office Suite experience
* Experience with MS SharePoint
