Winter Shelter Volunteer Coordinator

Portland Homeless Family Solutions is opening an emergency winter shelter that serves families with children who are experiencing homelessness. We will provide 75 moms, dads, and kids a safe place to sleep from December 11, 2017 through April 30, 2018. The Winter Shelter Volunteer Coordinator will manage all of these volunteers from start to finish: recruitment, training, management, and recognition. Due to the temporary nature of Winter Shelter, this position will end on April 30, 2018.

Hours for this position will include weekday evening hours between 5:30-7:30 pm to be on-site when volunteers arrive at the shelter for their shifts.

Specific Job Duties:

Volunteer Recruitment & On-boarding

  • Recruits volunteers for specific roles and assignments at the Winter Family Shelter.
  • Hosts 2 to 4 volunteer orientations per month, and individual orientations as needed.
  • Follows up with prospective volunteers before orientation, next steps after orientation, and processes all Family Winter Shelter volunteer applications and background checks.

Volunteer Management & Retention

  • Available to be on-site 4 to 5 nights per week, 5:30-7:30 pm to welcome volunteers, train new volunteers, and ensure that volunteers feel supported and engaged.
  • Builds relationships with volunteers, ensuring that all volunteers have a rewarding, meaningful, and engaging volunteer experience with PHFS.
  • Communicates regularly with Family Winter Shelter volunteers through check-in phone calls, emails, and thank-you cards.
  • Facilitates episodic volunteer groups at Family Winter Shelter as needed.
  • Resolves volunteer and staff concerns pertaining to volunteer job performance.
  • Ensures that volunteers receive feedback about their performance and have opportunity to give PHFS feedback about our performance.
  • Develops a climate within the staff of readiness for volunteers. Provides guidance and support to staff working with volunteers.
  • Helps retain Family Winter Shelter volunteers long-term by communicating volunteer roles at Thirteen Salmon Family Center and Goose Hollow Family Shelter, providing scope of all opportunities.

Volunteer Reporting & Scheduling

  • Regularly documents volunteer hours of episodic Meal Provider volunteers and any episodic volunteer teams.
  • Regularly updates volunteer accounts and volunteer schedule on Volgistics database of any changes.
  • Communicates to on-call Family Winter Shelter volunteers when there is low-staffing on the schedule.


  • Responds promptly to all volunteer inquiries within 24 hours.
  • Regularly communicates with Volunteer Manager about volunteer recruitment, management, and scheduling.

Minimum Qualifications

  • 3-4+ years of volunteer coordination.
  • Experience working with individuals or families experiencing homelessness and a knowledge of local social services is a plus.
  • Must be reliable and show up to work on time during every scheduled shift.
  • Must be self-motivated and work well in an unstructured environment.
  • Experience with crisis intervention and/or customer service encouraged.
  • Any bilingual fluency preferred but not required.
  • Ability to bend, kneel, squat, reach, and occasionally lift up to 25 pounds.
  • Familiarity with computers and basic software, including Volgistics Volunteer Database, Microsoft Word, Excel, and Google Drive.
